How to Send an Offer Letter

Send an offer to a candidate from their profile and track its status.

When you're ready to make a hire official, you can send an offer to a candidate right from their profile. AvaHR keeps each offer tied to the candidate and tracks where it stands, so you always know what's a draft, what's been sent, and what's been accepted.

Open the offer slide-over

  1. Go to Candidates and open the profile of the person you want to make an offer to.
  2. On the right side of the profile, find the Workspace panel.
  3. In the Decision section, select Send offer. An offer slide-over opens on the right.

Fill in the offer

In the slide-over, set up the offer:

  1. Pick an offer template to start from. The template fills the letter body with your standard text.
  2. Enter the Position title.
  3. Enter the Salary, and choose whether it's paid per year or per hour.
  4. Set the Start date.
  5. Set when the Offer expires, so the candidate knows how long they have to respond.
  6. Review and edit the letter body. Placeholders like [%position_title%] stay editable, so you can adjust the wording for this candidate before you send.

Save the offer

When everything looks right, select Save offer draft. The offer is saved to the candidate as a draft so you can review it before it goes out.

Track the offer's status

Every offer you create shows up in the Offers section of the Workspace panel, along with its current status:

  • Draft - saved but not yet sent.
  • Sent - delivered to the candidate.
  • Accepted - the candidate accepted the offer.
  • Declined - the candidate turned it down.
  • Expired - the offer passed its expiration date without a response.

Checking the Offers section is the quickest way to see where each candidate stands without leaving their profile.
