Adding Questionnaire to an Email

Send a questionnaire to a candidate by hand or automatically from a pipeline stage.

You can send a questionnaire to a candidate at any point in your hiring process. There are two ways to do it. You can send one by hand from a candidate's profile, or you can set a pipeline stage to send one automatically. This article covers both.

Before you start

Build and activate your questionnaire first under Settings > Screening on the Questionnaires tab. See "How to Create a Questionnaire" if you need to set one up. Once it is active, it is ready to send.

Send a questionnaire by email from a candidate

Open the candidate from the Candidates list, then go to the Messages tab and make sure you are on Email. Compose your email as usual: fill in the subject, write your message, and if you like, click Templates to drop in a saved email template.

To include the questionnaire, insert the merge field where you want the link to appear. This adds a unique link for that candidate. When they click it and answer the questions, their responses come back to their profile automatically.

Click Send when you are ready. You can track their answers on the candidate's Evaluations tab, where sent questionnaires and their responses are listed.

Send a questionnaire automatically from a pipeline stage

If you send the same questionnaire to everyone who reaches a certain stage, let the pipeline do it for you. This way, every candidate who enters that stage gets the questionnaire without you lifting a finger.

Go to Settings > Hiring Pipeline and open the pipeline you want to edit. Pick the stage where the questionnaire should go out, for example your Screen stage. In the stage editor, add an automation and choose the option to send a questionnaire, then select the questionnaire you want.

The questionnaire is delivered with an email, so anyone who lands in that stage receives the message and the link together. From then on, every time a candidate moves into that stage (whether you move them by hand or in bulk), the questionnaire sends on its own.

What the candidate sees

Either way, the candidate gets an email with a unique link. They click it, answer the questions, and submit. There is nothing for them to log into.

Where responses show up

Completed answers land on the candidate's Evaluations tab, alongside any other questionnaires and assessments they have been sent. If the questionnaire included a knock-out question and the candidate picked a disqualifying answer, they finish the questionnaire and are then moved to Disqualified automatically. No rejection email is sent, so you decide what to say next.
